This Privacy Notice is applicable to all activities of the following organisations and associated bodies: Chais Enterprises Limited trading as Chais Sports. For the purposes of this document “the company” is Chais Enterprises Limited trading as Chais Sports.

This policy is intended to provide information about how we will process personal data about individuals including staff; it’s current, past and prospective children attending courses; and their parents, carers or guardians (referred to in this policy as “parents”)

Why we need to process personal data
To carry out its ordinary duties to staff, parents and children, the company may process a range of personal data about individuals as part of daily operation.

How we collect data
The company receives personal data from the individual directly or in the case of children, from their parents. This is information about you that you give to us by, for example:

- Using any Web or mobile applications;
- Viewing or following our channels on any social media platforms;
- Corresponding with us by phone, email or otherwise;
- Attending a Tennis Coaching session;
- Attending a Tennis Camp Session;
- By recording Photography or Videography from your session(s) via our Site Managers.
Who has access to personal data and who the company shares it with
Occasionally, the company will need to share personal information relating to its community with third parties, such as local authorities (police or NHS). The company may also share limited personal details, such as name, specific medical information (nut allergy for example), with external tutors and coaches to ensure the safe running of activities and courses.
Details of food allergies or other relevant information may be shared with third party caterers.
Personal data collected by the company will remain within the company and will be processed by appropriate individuals only in accordance with access protocols(ie on a” need to know basis”).
How long we keep personal data
The company will retain personal data securely and only in line with how long it is necessary to keep for a legitimate and lawful reason. However, incident reports and safeguarding files will need to be kept for much longer, in accordance with specific legal requirements. The Independent Enquiry into Child Sexual Abuse (IICSA) gives guidance on this matter and any data relating to actual or suspected child sexual abuse must be retained indefinitely.
Your rights
Individuals have various rights under data protection law to access and understand personal data about them held by the company, and in some cases ask for it be erased or amended or for the company to stop processing it.
Consent
Where the company is relying on consent as a means to process personal data, any person may withdraw this consent at any time.
Whose rights
The rights under data protection law belong to the individual to whom the data relates. However, the company will often rely on parental consent to process personal data relating to a child (son, daughter or relative).
In general, the company will assume that a child’s consent is not required for ordinary disclosure of their personal data to their parents, e.g. for the purposes of keeping parents informed about the pupils activities, progress and welfare.
Data accuracy and security
The company will endeavour to ensure that all personal data held in relation to an individual is as up to date and accurate as possible. Individuals must please notify the company of any significant changes to important information, such as contact details, held about them.
The company will take appropriate technical and organisational steps to ensure the security of personal data about individuals, including policies around use of technology and devices.
All staff will be made aware of this policy and their duties under data protection law and receive relevant training.
Analytics
When you visit www.chaissports.co.uk, we use a third-party service, Google Analytics, to collect standard internet log information and details of visitors behaviour patterns. We do this to find out such things as the number of visitors to the various parts of the site. This information is only processed in a way that does not directly identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. As this is a third-party service, this potentially means that data may be stored outside of the UK.
We apply UK data protection law and the GDPR conditions to our processing.
